The Basics of Professional Thank You Notes

I would like to challenge each person in the room to begin a process of sending 5 thank you notes per week. These can go out to anyone in your professional world that has made your job easier this week. Perhaps, you had an engaging conversation, a quick favor someone performed to help your sales cycle shorten, someone gave you a referral – all of these things deserve thanks. So does any meeting that you have, if you’re inspired enough to write a note.

What you’ll find after a couple weeks of sending thank you notes is that people remember you, they feel a deeper rapport with you, and that favor they performed did not cost you another favor later. You have already acknowledged them, and offered appreciation, which is rare in today’s working world. Over time, you will see that people have posted your card, remembered that moment, and hold you closer to top of mind. In the medium and long term, this will make you more likely to get a call when you are an appropriate option for business.

Some example language to consider:

"Mark, It was great to meet you this afternoon and discover that we have both worked with Mike Lavios (Realtor). Thank you for sharing so much about your home, and look forward to hearing more about your decisions for the second floor addition. I will call you when I get more information about the historic review in your neighborhood. In the mean time, give me a ring with any questions you have. Thanks again, Barb Fisher."

These few sentences have gotten personal, offered a referral point for my business (Mike), and reminded them that we are here to do business. I have ‘bought some time’ on the historical review process – because after seeing them, it will probably be 2 days before they get the card, then if I call in another 2-3 days, I still seem fresh, rather than a week later.
